Helpers and shifts
Every job as a role with times, a name and a backup, and the briefing every helper gets. Seeded from your setup.
For a first pass, the roles sheet is essential: every job with a time and a name, even if every name is yours. That is the Start here result of Volunteers and helpers. The briefing checklist is essential as soon as anyone other than you has a job.
Roles and shifts
One row per job, with a time. Put a name on every row, yours included, and a backup where you can.
The briefing
Tell every helper these, in writing, before the day. Tick each one when it is in the message.
How to use these sheets
- A role is a task with a time. "Setup, 3:00 to 5:00 pm" can be filled; "help out" cannot. Say what the role includes and what it does not.
- A name and a backup. Put a name on every row. A backup is the person who steps in if the first is ill.
- Brief in writing. Tick Briefed once the person has the written message with where, when and whom to ask.
The example row is from Dana Whitfield's spaghetti dinner (fictional): the cash count at 8:15 pm by two people together, Dana and the parent group's treasurer, with what the role does not include (selling tickets).
The sheet organizes helpers; it does not settle a volunteer's or an organization's legal responsibility, or whether adults working with children need screening. Those are the organization's decisions, with its insurer or an attorney (Volunteers and helpers).
